Course Terms of Service and Refund Policy

Last Updated: September 24, 2026

Welcome to the horse archery courses, experience activities, and training camps (hereinafter referred to as "Courses") organized by Hong Kong Horse Archery Association Limited (hereinafter referred to as "the Association").
All students enrolling in the Courses (hereinafter referred to as "Students") are deemed to have read, understood, and agreed to be bound by these Terms and Conditions upon payment or submission of the enrollment form.

I. Booking & Payment Terms
Confirmation of Quota: All course quotas are confirmed only upon receipt of full payment (or the deposit amount agreed upon in writing by the Association) and the issuance of an official confirmation notice by the Association (including WhatsApp, Email, or a system-generated confirmation letter).
Qualification Confirmation: Students must ensure that the personal information provided during enrollment is true and accurate. Any inability to attend classes or legal liabilities arising from false information shall be borne by the Student.

II. Cancellation & Refund Policy
The Association's horse archery courses involve horse allocation, venue booking, and dedicated instructor scheduling. If a Student applies to cancel a course due to personal reasons (including but not limited to itinerary changes, personal affairs, personal leave, etc.), refunds will be strictly handled in accordance with the following terms:
Student-initiated cancellation and refund ratios:

  • Notification 14 days (inclusive) or more before the course start date: 95% of the total fees paid will be refunded (after deducting a 5% administrative and handling fee).

  • Notification 7 to 13 days (inclusive) before the course start date: 50% of the total fees paid will be refunded.

  • Notification 3 to 6 days (inclusive) before the course start date: No refund (0%).

  • Notification within 2 days before the course start date or No-show on the day: No refund (0%), and no make-up classes or transfers are provided.

  • Course Rescheduling (Postponement) Application:

  • Submitted 14 days (inclusive) or more before the course start date: One free rescheduling is allowed (the course must be completed within 3 months from the original start date).

  • Submitted 7 to 13 days (inclusive) before the course start date: Rescheduling is only permitted after paying 20% of the total course fee as a stable scheduling and administrative processing fee.

  • Submitted within 6 days (inclusive) before the course start date: No rescheduling applications due to personal reasons will be accepted; the enrollment will be considered forfeited, and fees paid will not be refunded.

Application Method and Effective Time:
All cancellation or rescheduling applications must be submitted in writing (via the Association's designated official WhatsApp, Email, or web system).
The effective time of the application is based solely on the timestamp of the written message received by the Association's system. Any verbal notifications (including phone calls, voice messages) will not be accepted.

III. Medical Exceptions
If a Student suffers from a sudden major injury or illness before the course starts and is assessed by a registered doctor as unfit for strenuous activities such as horse riding and archery, a medical certificate issued by a legitimate medical institution must be submitted to the Association at least 24 hours before the course starts.
Upon approval by the Association, the Student may choose to:

  • Postpone once for free (must be used within 6 months); or

  • Apply for a refund (the balance will be refunded after deducting a 10% administrative fee).

IV. Force Majeure & Bad Weather
Horse archery is an outdoor sport involving horse safety. In the event of extreme weather or force majeure events:
Cancellation Criteria: If, 2 hours before the course starts, the Hong Kong Observatory issues a Black Rainstorm Warning Signal, Tropical Cyclone Warning Signal No. 8 or above, Thunderstorm Warning, or if the on-site head instructor assesses that the venue conditions/horse status are unsuitable for the activity.
Notification and Arrangement: The Association will proactively notify Students of course cancellation via writing or phone. Students may choose to:

  • Reschedule for free to other sessions with available quotas; or

  • Apply for a full refund (100% refund), and the Association will not charge any administrative fees.

The Association shall not be liable for any other personal losses (such as transportation costs, accommodation fees, etc.) caused by course cancellation due to weather or force majeure.

V. Liability Waiver & Assumption of Risk
Sports Risk: Horse archery (combining equestrianism and archery) is a high-risk sports activity. Students understand and agree that despite the Association taking reasonable safety measures and providing professional guidance, there are still unforeseeable risks during the activity (including but not limited to physical injury or property damage caused by startled horses, falling from horses, strains, collisions, etc.).

Voluntary Assumption: Students confirm that they are in good health, have no concealed heart disease, high blood pressure, spinal diseases, pregnancy, or other conditions unsuitable for strenuous exercise, and voluntarily assume all safety risks of participating in this course.

Legal Disclaimer: To the maximum extent permitted by Hong Kong law, the Association and its instructors, employees, and stable venue providers shall not be liable for any personal injury, death, or property damage caused by the Student's own negligence, failure to follow instructions from instructors/staff, or intentional violation of rules.

Insurance Recommendation: The Association has purchased basic public liability insurance, but it is strongly recommended that Students purchase their own personal accident insurance covering high-risk sports/equestrian activities.

VI. Refund Process
For all applications eligible for a refund, the Association will process them within 7 to 14 working days after receiving complete refund information and confirming it is correct.
Funds will be returned to the original credit card/electronic payment account used for payment, or deposited into the Student's designated local Hong Kong bank account.

VII. Media & Intellectual Property
Course Media: The copyright of photos and videos taken by the Association during the course belongs to the Association. The Association has the right to use the relevant media for promotion, teaching, website, and social media publication.
Portrait Authorization: If a Student does not agree to the public use of their personal portrait, they must proactively inform the Association in writing before the course starts.

VIII. Governing Law & Jurisdiction
The establishment, execution, interpretation, and dispute resolution of these terms shall be governed by the laws of the Hong Kong Special Administrative Region of the People's Republic of China.
In case of any discrepancy between the Chinese and English versions of these terms, the Chinese version shall prevail.
The Association reserves the right to modify, change, or terminate these terms at any time. The modified terms will take effect immediately upon publication on the website. Changes to the terms will not affect the rights of orders for which payment has been completed before the changes.
